Appointment Cancellation Policy

We understand that schedules change. To respect our providers' time and allow other patients to schedule, we require at least 24 hours' notice for cancellations or rescheduling.

Cancellation Guidelines:

  • Cancellations made 24+ hours before your appointment: No charge
  • Cancellations made less than 24 hours before your appointment: $50 cancellation fee will be charged to the card on file
  • The cancellation fee will be retained by Radiance at Fluhme, LLC To cancel or reschedule, please call 412-886-5382 or manage your appointment through our online booking system. 


No-Show Policy

Failure to attend a scheduled appointment without prior notice is considered a no-show. A $50 no-show fee will be automatically charged to the credit card on file. Repeated no-shows may result in a requirement to prepay for future appointments or limitations on booking privileges.

Late Arrival Policy

Please arrive 10-15 minutes before your scheduled appointment time to complete any necessary paperwork. If you arrive more than 15 minutes late, we may need to reschedule your appointment depending on provider availability. Late arrivals cannot be guaranteed their full treatment time, as we must respect the schedules of patients following you. You will still be responsible for payment of your scheduled service.

Payment Policy

Payment is due at the time of service. We accept cash, credit cards (Visa, Mastercard, American Express, Discover), and HSA/FSA cards.

Credit Card on File:
A valid credit card is required to book appointments and will be kept securely on file for appointment-related charges, including cancellation fees or no-show fees.

Packages and Memberships:
Prepaid packages and VIP memberships must be paid in full at time of purchase or according to membership terms.

Insurance:
We do not accept insurance for cosmetic procedures. However, we can provide itemized receipts for you to submit to your insurance company for potential reimbursement.

Consultation Policy

Many treatments require a complimentary consultation before scheduling, especially for new patients or first-time procedures. Consultations allow us to assess your candidacy, discuss realistic expectations, and create a personalized treatment plan.

Required Consultations:

  • IPL Photofacial (new patients)
  • Laser Hair Removal (new patients)
  • CoolSculpting Elite (all patients)
  • Body treatments (case-by-case basis)
  • Medical Weight Loss programs

Consultations are obligation-free. You are welcome to schedule treatment during or after your consultation based on your comfort level. 

Treatment Day Requirements

Arrive with Clean Skin:
Please arrive with a clean face, free of makeup, lotions, perfumes, or skincare products on treatment day unless otherwise instructed.

Numbing Cream Timing:
For treatments requiring numbing cream (IPL, microneedling, etc.), please arrive 30 minutes before your scheduled appointment time for application.

Follow Pre-Care Instructions:
Each treatment has specific pre-care requirements (sun avoidance, stopping certain medications, etc.). Failure to follow pre-care instructions may result in rescheduling for your safety.

Informed Consent

All patients must review and sign an informed consent form before receiving treatment. This document outlines the procedure, potential risks, expected results, and aftercare requirements. If you have questions about your consent form, please ask before signing.

Photography & Marketing Policy

With your written consent, we may take before-and-after photographs for your medical records and potential marketing use. All photos are stored securely and in compliance with HIPAA regulations.

Your Rights:

  • You may decline photography at any time
  • You control whether your photos can be used for marketing purposes
  • Photos used for marketing will not include identifying information without additional consent
  • You may request removal of your photos from marketing materials at any time

Minors Policy

Patients under 18 years of age must be accompanied by a parent or legal guardian for all appointments. The parent/guardian must be present during consultations, provide written consent for treatment, and remain on-site during procedures.

Refund & Exchange Policy

Services:
All services are non-refundable once performed. If you are unsatisfied with your results, please contact us within 14 days so we can address your concerns and determine if a complimentary follow-up or adjustment is appropriate.

Products:
Unopened, unused retail products may be returned within 14 days of purchase with original receipt for store credit only. Opened or used products cannot be returned due to health and safety regulations.

Prepaid Packages:
Prepaid treatment packages are non-refundable but may be transferred to other services of equal or lesser value at our discretion.

VIP Memberships:
Memberships require a 3-month minimum commitment and are non-refundable. After the initial commitment period, memberships may be cancelled with 30 days' written notice.

Medical & Health Disclosures

You must disclose all relevant medical conditions, allergies, medications, and previous cosmetic procedures during your consultation and before each treatment. Failure to disclose accurate health information may compromise your safety and results.

Always Inform Us If You:

  • Are pregnant or breastfeeding
  • Have active infections or skin conditions
  • Are taking photosensitizing medications
  • Have a history of keloid scarring
  • Have metal implants or pacemakers (for certain devices)
  • Have had recent cosmetic procedures
